Best In Skin Awards — Privacy Policy

1. About this policy

Best In Skin Awards is operated by The Trustee for the Beaute Family Trust, ABN 56 560 962 687, trading as BEST IN SKIN AWARDS ("we", "us", "our").

This policy explains what personal information we collect, how we use it, who we share it with, and how you can access or correct it. It applies to entrants, award recipients, ticket holders, guests, judges, sponsors and visitors to our website.

We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth) and, for individuals in New Zealand, the Information Privacy Principles under the Privacy Act 2020 (NZ).

2. Information we collect

2.1 From entrants

  • Name, business or clinic name, email address, phone number, postal address

  • Professional qualification details and supporting evidence

  • Entry content — consultation notes, skin analysis, treatment details, product and prescription information

  • Photographs submitted as part of an entry

  • Payment information (processed by our payment provider — we do not store card details)

  • Marketing preferences

2.2 About entrants' clients

This is the most sensitive category of information we hold, and we collect it indirectly — from the entrant, not from the client.

Entries contain information about the entrant's client, including photographs, skin conditions, treatment history and outcomes. Some of this is health information.

We rely on the entrant to have obtained the client's informed consent before submitting. Entrants warrant this under our Competition Terms and Conditions. Where the client is under 18, the entrant warrants that written parental or guardian consent has been obtained.

We do not contact clients directly and we do not hold client contact details.

If you are a client whose images or treatment information have been submitted and you did not consent, or you wish to withdraw consent, contact us at hello@bestinskinawards.com and we will act on it.

2.3 From ticket holders and guests

  • Name, email address, phone number

  • Payment information (processed by our payment provider)

  • Dietary and accessibility requirements

  • Photographs and film footage captured at the ceremony

2.4 From judges and sponsors

  • Name, contact details, professional biography and photograph

  • Business details and, for sponsors, billing information

2.5 From website visitors

  • IP address, browser and device type, pages visited, referring site, and time spent

  • Information collected through cookies and similar technologies (see section 7)

 

3. How we use information

We use personal information to:

  • Administer entries, judging and the awards program

  • Verify eligibility and qualifications

  • Process payments and issue invoices

  • Communicate with entrants about their entry and the season

  • Announce finalists and award recipients

  • Display finalist and winning work at the ceremony, on our website and social media, and in promotional material

  • Maintain the historical archive of the Awards

  • Sell tickets and run the ceremony

  • Send marketing communications, where you have opted in

  • Improve our website and understand how it is used

  • Meet our legal, tax and record-keeping obligations

 

4. Who has access

4.1 Judges

Judges access entries through the Zealous platform during their allocated judging period only. Entries are presented to judges anonymously — judges do not see entrant identities during assessment.

4.2 The Best In Skin Awards team

Our team has access to entry data for the purpose of administering the program.

4.4 Other disclosures

We may disclose personal information where required by law, or where necessary to investigate a suspected breach of our Competition Terms and Conditions.

We do not sell personal information.

 

5. Overseas disclosure

Some of our service providers store or process information outside Australia and New Zealand.

Zealous also engages its own service providers, including Brevo, Microsoft, Dropbox and Mailgun, in the course of operating its platform.

By submitting an entry, purchasing a ticket or subscribing to our emails, you consent to your information being disclosed to these providers and stored in these locations.

 

6. Marketing

We send marketing emails only to people who have opted in — through the entry form, a website signup, or by subscribing directly.

Every marketing email includes an unsubscribe link. You can unsubscribe at any time and we will act on it promptly.

Transactional messages (entry confirmations, payment receipts, judging outcomes and ticket information) are not marketing and will still be sent where relevant.

 

7. Cookies, analytics and tracking

Our website uses cookies and similar technologies to make the site work, understand how it is used, and measure the effectiveness of our marketing.

We use:

  • Essential cookies — required for the site and ticket checkout to function

  • Google Analytics — website usage and traffic analysis

  • Meta pixel — measuring the performance of our social media activity, and audience matching

  • Klaviyo tracking — linking website activity to email subscriber profiles

You can control cookies through your browser settings. Blocking some cookies may affect how the site works.

 

8. How long we keep information

9. Security

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access or disclosure. This includes access controls on our platforms, limiting access to those who need it, and using reputable service providers.

No system is completely secure. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required.

 

10. Accessing and correcting your information

You can ask us to:

  • Provide a copy of the personal information we hold about you

  • Correct information that is inaccurate or out of date

  • Delete information, where we are not required to retain it

  • Withdraw consent for promotional use of your entry material

Email hello@bestinskinawards.com. We will respond within 30 days. We may need to verify your identity first.

Note that withdrawing consent for promotional use does not remove finalist or winning work from the historical archive of the Awards — see clause 13 of our Competition Terms and Conditions.

 

11. Complaints

If you believe we have mishandled your personal information, contact us at hello@bestinskinawards.com and we will investigate.

If you are not satisfied with our response, you can complain to:

12. Changes to this policy

We may update this policy from time to time. The current version is always available on our website, and material changes will be notified to entrants by email.
